What we collect when you use this site, register for an event, or join the chamber, and what we do with it.

Effective August 25, 2026

Overview

This Privacy Policy explains how MOVE Chamber of Commerce ("MOVE," "we," "us," or "our"), a 501(c)(6) non-profit organization, collects, uses, and shares information when you visit movechamber.org or any of our subdomains, register for an event, apply to a program, or become a member. By using the site or attending our events, you agree to the practices described here and to our Terms of Use.

Information We Collect

Almost everything we hold is information you gave us directly.

  • Contact details. Your name, email address, phone number, and company or organization when you register for an event, submit a contact, volunteer, or membership inquiry, apply to a program, or subscribe to our newsletter.
  • Event registration details. The events you register for, your party size, your ticket and check-in record, any questions or accessibility needs you share with us, and whether you attended.
  • Membership information. Your membership tier, renewal status, areas of interest, and the business details you choose to publish in our member directory.
  • Payment information. Dues and paid event tickets are processed by third-party payment processors. We receive confirmation of completed payments and may receive related transaction information, such as the payer's name, email address, billing address, transaction identifier, payment amount, payment history, and the last four digits of the payment card. We do not receive or store full payment-card numbers.
  • Photographs and video. Images, video, and audio recorded at our events. See "Photography and Video at Events" below.
  • Site usage. Standard analytics such as pages viewed, referring site, approximate location, browser type, and IP address, collected through cookies and similar technologies.

How We Use Information

  • To confirm your registration, send your ticket, check you in at the door, and follow up after an event.
  • To respond to your inquiries about membership, programs, sponsorship, or volunteering.
  • To send the updates you asked for, such as our newsletter and event announcements.
  • To administer membership, including billing, renewals, and the member directory.
  • To measure attendance and program outcomes, and to report those results to our board, our partners, and our funders. Reporting of this kind is aggregated and does not identify you individually.
  • To operate, secure, and improve the site, including filtering spam and abusive submissions.
  • To meet our legal, tax, and accounting obligations.

Photography and Video at Events

MOVE Chamber events are photographed and recorded. Our staff, volunteers, contracted photographers, media partners, and event hosts may capture photographs, video, and audio of attendees, including you, throughout the venue and during programming.

By affirmatively accepting the photo and video release during registration, or by otherwise providing written or electronic consent, you grant us permission to use your image, likeness, and voice in our promotional, educational, and reporting materials, without compensation and without further notice. That includes:

  • Our website, newsletters, and event recap pages.
  • Our social media accounts and paid advertising.
  • Annual reports, grant reporting, sponsor materials, and press.
  • Materials produced by an event co-host or partner for the same purposes.

We do not sell event photography, and we do not publish attendee names alongside photos unless you gave them to us for that purpose, for example as a speaker or honoree.

If you prefer not to be photographed, tell our staff at the check-in table when you arrive and we will do our best to keep you out of frame. If an image of you has already been published and you want it removed, email info@movechamber.org with enough detail to identify it and we will reasonably consider your request and, where practicable, remove it from materials under our control. We cannot recall material that has already been reshared or published by a third party.

Text Messages

When you give us your phone number at registration, we may text you a reminder about the event you signed up for and occasional updates about chamber programming. Message frequency varies. Message and data rates may apply. Reply STOP to any message to opt out, or HELP for help. Opting out of text messages does not cancel your registration or your membership.

Cookies and Analytics

We use cookies and similar technologies to keep you signed in, remember your language preference, and understand how the site is used. We may use analytics and advertising tools provided by third parties, such as Google Analytics and the Meta pixel, which set their own cookies and may build a profile of your activity across sites. We also use a bot-protection service on our forms, which processes limited technical data to tell people apart from automated traffic.

Most browsers let you block or delete cookies. Blocking them may break parts of the site, such as staying signed in.

How We Share Information

We do not sell your personal information. We share it only in these situations:

  • Service providers. Vendors that run the chamber's operations on our behalf, including our email, CRM, hosting, database, analytics, and payment providers. They may use your information only to provide services to us.
  • Event partners and hosts. When an event is co-hosted or hosted at a partner venue, we may share an attendee list with that partner for check-in, venue access, and follow-up. The partner's own privacy practices apply to what they do with it.
  • Public listings you opt into. Member directory entries and speaker or honoree recognition are published by design.
  • Legal and safety. When required by law, subpoena, or regulation, or when needed to protect the rights, safety, or property of MOVE, our members, or the public.

How Long We Keep Information

We keep contact, membership, and event records for as long as you have a relationship with the chamber, and afterward for as long as we need them for our reporting, tax, and legal obligations. Event photography and video may be kept indefinitely as part of the chamber's archive. You may ask us to delete your information, although we may retain information reasonably necessary for our legal, tax, accounting, contractual, reporting, archival, and dispute-resolution obligations.

Your Choices

  • Unsubscribe from any marketing email using the link at the bottom of the message.
  • Reply STOP to any text message to stop receiving texts.
  • Ask us to correct, export, or delete the information we hold about you.
  • Ask us to consider removing a photograph or video of you from materials we control, where reasonably practicable.

To make any of these requests, email info@movechamber.org. We may need to verify your identity before we act. We will not discriminate against you for exercising these rights. Note that we still need to send you transactional messages about a registration or membership you hold, such as a ticket or a receipt.

Children

Our site and programs are directed at business owners and professionals, not children. We do not knowingly collect personal information online from children under 13. If you believe a child under 13 has provided personal information through our website, please email us and we will take appropriate steps to delete it.

Minors may attend family-friendly events as guests of a registered adult. Before MOVE uses an identifiable minor's image, likeness, or voice for advertising or promotional purposes, MOVE will obtain written or electronic consent from the minor's parent or legal guardian. If the accompanying adult is not the minor's parent or legal guardian, MOVE may request consent directly from the parent or guardian or take reasonable steps to avoid using the minor's identifiable image for promotional purposes.

Third-Party Sites

Our site links to third-party sites, including payment pages, partner event registration, and social media. We are not responsible for their content or their privacy practices. Read their policies before you share information with them.

Changes to This Policy

We may update this policy as our programs and tools change. When we do, we will revise the effective date at the top of this page. Material changes will be announced on the site or by email.
